Advisory CRM : Compliance-First CRM
Summary
Advisory CRM was created for insurance and financial advisory practices that acquire leads through web forms and lead vendors and need to convert them into in-force clients. Before this platform, follow-up lived in spreadsheets, sticky notes and separate dialers. Consent was tracked from memory, licensing was checked by hand, and every outreach carried a compliance risk.

About Advisory CRM
Most CRMs treat compliance as something to remember after the fact. In Advisory CRM it is the default. The system checks consent, follows the rules of each licensed state and requires advisor approval at every sensitive step, so nothing goes out until it has been cleared.
Markeltree designed and built the complete product, from the advisor workspace and pipeline board to the automation engine, AI drafting layer and compliance log, using Next.js, Node.js and PostgreSQL, deployed on Vercel.

The Challenges
Every project starts with real problems. Here are the core challenges we tackled for this engagement.
Compliance Depended on People Remembering the Rules: Before every call, advisors had to keep Do-Not-Call status, consent status and state licensing in mind. One missed check meant a TCPA violation. The system had to enforce the rules itself rather than rely on memory or goodwill.
Follow-Up Was Slow and Inconsistent: Leads went cold because follow-up was ad hoc and depended on sticky notes, spreadsheets and whoever had time. No-answer sequences, reminders and booking confirmations needed to run automatically and on time, without ever bypassing compliance.
AI Could Help, But Couldn't Be Trusted Unsupervised: Hand-drafting illustrations, document requests and recap emails took hours. But financial and insurance communication can't go out unreviewed. The practice needed AI speed with an approval step on anything sensitive.
Tools Were Scattered Across the Practice: Leads lived in one place, calls in a dialer, notes in documents and reminders on paper. Advisors had no shared view of a case from first form to in-force policy. The practice needed one pipeline that showed every stage clearly.
Opt-Outs Had to Be Honored Instantly: When a STOP reply or spoken opt-out arrived, all automated contact had to stop immediately across every workflow. Even a delay of a few hours was a risk. One handler had to govern every workflow.
Audits Required Proof, Not Promises: The practice had to show when a contact gave consent, who approved what and when a contact opted out. Scattered records made that slow and unreliable. Every action needed to be logged to one central record, automatically.
Core Features Implemented
A breakdown of the core components built and delivered for Advisory CRM.
Lead Intake & Source Tracking
Every lead is recorded with where it came from and why it was entered.
Capabilities include:
- Web form capture and embedded lead capture forms
- Lead vendor webhook integration
- Reason for entry recorded on every contact
- Market segments including Mortgage Protection, High Income / Doctors, Business Owners / Corporate, Affinity / Community, Veterans, Family Offices and Retirement / 55+
- Duplicate detection when leads are added
Advisors know where each lead came from and why it is being contacted from the very first moment.
Consent & Licensed-State Verification
Outreach stays locked until it is authorized and allowed.
Capabilities include:
- Consent recorded on every contact with timestamp and source
- Each lead's resident state matched against the practice's licensed footprint
- Outreach unlocks automatically once both checks pass
- Status banners showing consent, state licensing and outreach status
- Workflows verify consent before every call, text or email
A lead is only contacted by call, text or email once it has been cleared.
End-to-End Pipeline Board
One board that follows every case through to in-force client.
Capabilities include:
- 11 pipeline stages, from New Lead and Discovery Booked through Illustration and Underwriting to In-Force
- Daily snapshot of leads at each stage
- Drag-and-drop stage movement
- Case history and notes on every record
- Filters by market, advisor and stage
Advisors can see any case on a single page without opening a spreadsheet.
AI Drafting & Advisor Approval Queue
AI prepares the work. Advisors make the final call.
Capabilities include:
- AI-drafted illustrations, document requests and weekly recap emails
- Approval queue where advisors approve, edit or reject each draft
- Counter showing how many items are waiting
- Every AI draft reviewed by an advisor before sending
- Edit history on approved items
Advisors save hours of drafting, and nothing sensitive goes out unreviewed.

Scheduled follow-up without the upkeep.
Capabilities include:
- 12 automated workflows
- Appointment confirmations and booking reminders

Advisors open the app and know exactly what needs to be done.
How We Built Advisory CRM
Discovery & Planning
We started by mapping how advisory practices actually move a lead from first contact to in-force client. We reviewed consent requirements, do-not-call handling and state licensing rules, and spoke with advisors about where follow-up broke down. The result was a clear pipeline model, a list of workflows to automate and a compliance rulebook that every feature had to respect.
Core Development
We designed the advisor workspace, pipeline board and approval queue, then built the core platform: lead intake, contact records, consent and licensing checks, and the 11-stage pipeline. The compliance log was built alongside the product from day one, so every action was recorded from the first test lead.
Advanced Features
Next we added the layers that save time and keep clients engaged. We built the 12 automated workflows, the AI drafting layer with its advisor approval queue, the DNC and opt-out handler, fixed disclosures for AI voice calls, and the client engagement features for annual reviews, greetings and referrals.
Optimization & Deployment
The final phase focused on reliability and trust. We tested every workflow against consent and licensing rules, verified that opt-outs suppressed outreach everywhere, reviewed data handling and access controls, and deployed the platform with monitoring. A demo advisor account was set up so teams could explore the full pipeline before going live.
Key Outcomes & Impact
0 calls placed without consent
100% of AI drafts reviewed by an advisor before sending
12 automated workflows running on schedule
11 pipeline stages tracked on one board
Consent, licensing and opt-out rules enforced by the system, not by memory
A platform ready for new markets, states and advisors

We didn't need another CRM with compliance bolted on. We needed one where the rules were built in, so my team could focus on clients instead of checklists. Markeltree understood that from our first call. Follow-up now runs on its own, nothing sensitive goes out without my approval, and I'm no longer worried about a missed consent check.
